Sobeys is full of exciting opportunities and we are always looking for bright new talent to join our team! We currently have a full-time opportunity for a Project Administrator. This role is based out of our office in Mississauga, ON

Here’s where you’ll be focusing:

 

As a Project Administrator with Sobeys you will:  

 

  • Support the review and approval process for new projects (Intake), Charters and Change Requests, this includes tracking submissions, preparing agenda and completing minutes for meetings as required.
  • Ensure timely and accurate entry of project-level data in required Project Management & Resource Management tools. Some key entries include updates resulting from milestone phases, status changes, assignment of project numbers to new projects, and all tracked project information in the databases.
  • Create and maintain all project records including approvals, signatures and backup documents in an organized fashion for easy reference and retrieval.
  • Coordinate meetings based on required attendees’ availabilities and ensure documents such as pre-reads and actions/decisions are sent within expected timeframes, including meeting room/venue booking. Handle the actions & decisions recording at meetings.
  • Support new team member onboarding by ensuring development and completion of onboarding checklist and organizing required access, tools etc.
  • Support Project Prioritization and Store Impact team in the creation of power point presentations transferring content into marketable material.
  • Central contact for all processes, questions, and issues, escalating to team members to triage and resolve.
  • Responsible for the creation of Project Share point sites, transitioning to owners along with expectations.
  • Maintenance of Project SharePoint sites including, but not limited to the creation of new project SharePoint sites, creation of security groups, managing document libraries, issuing risk/action logs and maintenance of overall site creativity and appearance.
  • Maintain relevant processes to ensure information is up to date and any necessary changes are updated on a central repository as well as communicated to impacted teams, while also providing training or guidance as required.
  • Be present and participate in mandatory meetings and actively share input, thoughts and ideas to help improve TAR systems and tools.
  • Occasionally assist in other administrator related duties such as event organization, document preparation/editing, printing/photocopying, issuing Assyst net requests and as well as other tasks as required.

  • Undergraduate Degree or Diploma, with a minimum of 2 years of relevant experience.
  • Project Administration experience in the grocery retail sector preferred.
  • Possess strong interpersonal and communication skills to ensure professional and efficient communication with both internal and external staff and parties.
  • Problem solve independently, escalating if no other path with recommendations to resolve.
  • Be extremely well-organized, and able to manage a multitude of requests simultaneously.
  • Hold oneself responsible to deliver and support the team, while also holding others accountable and ensuring tasks / activities are completed as required.
  • Experience in a Project Management Office or Knowledge of Project Management process and Methodologies.
  • Expert in SharePoint, Advanced PowerPoint, Word, Outlook, Advanced Excel, Microsoft Suite.
