Overview

We are looking for a self-motivated Executive Assistant to join our FreshCo team! You will report directly to the General Manager Discount Format. The successful candidate must have experience in a fast paced, growing environment where a high degree of professionalism, confidentiality and flexibility is required. The successful candidate is a passionate individual who will want to learn all about the discount format business at FreshCo and be a confident business partner to the FreshCo leadership team. 

Job Description

•Lead and facilitate management meetings and team huddles and actively participate by sharing knowledge and insights
•Development and editing of business communications based on direction from General Manager
•Prepare presentation materials and correspond on behalf of General Manager
•Management of General Manager’s daily calendar and email
•Receive and redirect or resolve customer and/or employee complaints or issues
•Collaborate with stakeholders in building meeting agendas 
•Complete and submit expense reports on behalf of General Manager
•Assist with and/or attend on and off-site presentations as required (including regional travel)
•On-boarding and/or exit process for General Manager’s direct reports (e.g. timely coordination with IT to enable/disable access to business tools, resources and systems)
•Responsible for requests including set up of conference calls, video conferences, ordering supplies, booking meeting rooms
•Make travel arrangements (corporate trip coordination, build detailed agenda/itineraries, etc.)
•Prepare meeting rooms for management meetings such as catering requirements/ set up of equipment, etc.
•Plan, organize and co-ordinate team functions and special events
•Book company approved training for General Manager’s direct reports
•Provide counsel and direction to team’s Administrative Assistant
•Collaborate with IT for resolution of laptop, phone or other system issues as needed
•Gather and email new store opening pictures to Discount Team
 

Job Requirements

•Post secondary education (Office Administration)
•3 – 5 years administrative support at an executive level
•Exceptional written business communication skills
•Strong presentation and communication skills
•Advanced knowledge of MS Office (Word, PowerPoint, Excel and Outlook) plus the ability to prepare comprehensive presentations
•Experience using virtual meeting platforms including Microsoft Teams and Zoom
•Highly organized and detail oriented with the ability to multitask and meet critical deadlines
•Work experience in retail merchandising / marketing / operations would be an asset
